Administrative Assistant

The administrative assistant to the executive administrator provides support in various areas of administration. These areas include HR assistance, accounts receivable and payable, backup executive support, and general office duties. IPMS is also considering a part time administrative assistant position.

Key Duties and Responsibilities

  • Manage time clock entries
  • Manage temp employee time
  • Assist with benefit information
  • Assist with annual and 90 day reviews
  • Assist with performance reviews
  • Research and organizes learning webinars and evaluations
  • Assist with accounts payable and receivables (vendor contact, reconcile invoices, record bills, collecting receipts)
  • Backup for payroll duties; benefit management; manager performance reviews; on-boarding; check runs; leasing needs; certificates of insurance
  • Provide daily administrative support to Executive Administrator and President
  • Answer phones and direct calls to appropriate person (as part of a team)

Basic Qualifications

  •  Intermediate to advanced skill with Microsoft Office software (Excel, Word, Outlook)
  •  Comfort with web-based programs
  •  Excellent communication skills
  •  Extraordinary organizational skills
  •  Ability to research and summarize information
  •  High school diploma or equivalent

Preferred Skills and Experience

  • QuickBooks or other bookkeeping software
  • Bachelors degree preferred
